Sync your schedule with Google Calendar, Outlook, and Apple Calendar

Connect Google Calendar two-way or use iCal and ICS links with Outlook and Apple Calendar in véltica.

On this page

So you never have to check two separate calendars or risk a customer booking you at a time when you have a personal commitment, véltica can automatically write your appointments to your calendar and read your busy times to block them on your booking page.

How syncing works from the Sync button in Catalog → Appointments

Go to Catalog → Appointments and click the Sync button (in the top-right corner). The Sync with your calendar dialog will open, giving you two options depending on which calendar app you use on your phone or computer:

  • Connect Google Calendar: Direct one-click connection (two-way) without copying or pasting any links.
  • Connect another calendar (Outlook, Apple Calendar, or iCal/ICS links): Works in two independent directions: an outgoing link under See my bookings in my calendar and an incoming link under Don’t offer times when I’m busy.

Direct two-way connection with Google Calendar: write your bookings automatically and block busy times without reading private event details

If you use Google Calendar, this is the fastest and most complete option because it works instantaneously in both directions:

  1. In Catalog → Appointments → Sync, under Connect Google Calendar, choose in Connect for whether it applies to all your schedules or a specific service, and click Connect with Google.
  2. Sign in with your Google account and grant permission.
  3. Once connected, you will see two active toggles you can control independently:
    • Write my bookings to their calendar: Every time someone books, reschedules, or cancels in véltica, the appointment appears or updates right away in your Google Calendar.
    • Block times when I am busy: Whenever you have an event marked “Busy” in Google Calendar, véltica automatically removes that time from your public booking page.

Privacy guaranteed: véltica only asks Google for permission to create your customer bookings and check which time ranges you are busy (free/busy). We do not read the title, description, or guests of your personal events. If you ever click Disconnect, we stop syncing and revoke access in your Google account while keeping the events already written to your calendar.

If you use Outlook, Apple Calendar (iCloud / Mac / iPhone), or prefer subscribing via link:

  1. In the Sync dialog, expand Connect another calendar and go to See my bookings in my calendar.
  2. Pick your provider (Google Calendar, Outlook, or Apple) and click Add to [provider], or expand Copy the link or other options to copy your private bookings calendar URL.
  3. Your appointments will show up automatically in your calendar app (keep in mind that Outlook, Apple, and link-based Google subscriptions can take a few hours to refresh new bookings).

Because that link is private and contains your customers’ names and contact details, véltica includes two security actions under Copy the link or other options:

  • Create a new link (rotate link): If you accidentally shared the link with someone else, click here. The old link stops working immediately and a new one is generated so you can add it again only on your own devices.
  • Stop sharing: Disables the link completely so no external calendar can keep reading it.

So that events on your personal calendar in Outlook, Apple Calendar (or any external .ics calendar) automatically block available slots in véltica, go to the Don’t offer times when I’m busy section:

  1. Select your provider (Outlook, Apple, or Google Calendar) to see the quick on-screen guide:
    • In Outlook: Open Outlook’s shared calendars → under Publish a calendar, pick your calendar, choose Can view when I’m busy, and click Publish → copy the ICS link.
    • In Apple Calendar: Open Calendar on iCloud.com (or the Calendar app on your Mac) → next to your calendar, click the share icon and turn on Public Calendar → copy the link that appears.
    • In Google Calendar (if you did not use the direct connection): Open Google Calendar settings → pick your calendar on the left → scroll to Integrate calendar and copy the Secret address in iCal format.
  2. Under Block on, choose whether this calendar should block times across all schedules or only on a specific service.
  3. Paste the link into Paste your calendar’s private link here and click Connect.

Once connected, you will see how many events were read and when it last updated, along with an Update now button to force a refresh anytime.

If you see an error notice when pasting a link under Don’t offer times when I’m busy, check the cause in this table:

Message in véltica Why it happens and how to fix it
“That is the link to the Google Calendar / Outlook page” You copied the address from your browser’s URL bar (calendar.google.com/... or outlook.live.com/...) instead of the calendar feed file. Follow step 2 of the on-screen guide to copy the link ending in .ics or the Secret address in iCal format.
“That does not look like the calendar link” (Apple) Make sure you first turn on Public Calendar when sharing in iCloud or on your Mac, and copy the webcal:// or https:// link generated there.
“The calendar was not found” The private link was rotated or unshared in your calendar provider. Generate a new link in Google, Outlook, or Apple and paste it again.
“The account needs to be connected again: Google revoked the permission” You changed your Google password or revoked access in your Google security settings. Click Connect with Google to authorize it again.
