Booking analytics: occupancy, attendance, and appointment revenue
Review how many appointments are booked, your real attendance rate, cancellations, and which services or days have the highest demand.

If you offer appointment-based services or group classes, knowing how many people book is only half the story: you also need to know how many actually show up, how many real hours they fill in your week, and how far in advance they book. All of that is measured in Analytics → Bookings.
Checking Analytics → Bookings: total appointments, attendance rate, cancellations, and no-shows
When you open Analytics → Bookings, every metric is calculated using appointments whose scheduled time falls within the selected period, regardless of the day the customer placed the booking:
- Appointments: the total number of spots booked during the period (in a group class, each attendee counts as one appointment), along with how many are still upcoming. Temporary holds that expired unpaid are left out because they never became a real appointment.
- Attendance: the percentage of customers who showed up out of the appointments that already have an outcome recorded (Attended versus No-show).
- Cancellations: how many appointments were cancelled by the customer or by your team, and what percentage of the period’s total they represent.
- Unrecorded: how many appointments are already past their scheduled time but are still marked as Confirmed or Held.
- Appointment revenue: the amount collected online minus refunds, counting only appointments paid up front or with a deposit. Payments you collect in cash or on a card terminal in person aren’t added here so estimates are never mixed with verified online charges.
Upcoming appointments—or past ones you haven’t marked yet in Catalogue → Appointments (or Bookings → Appointments)—are excluded from the attendance percentage. If they were included, having a full calendar for the rest of the month would make it look like nobody shows up. Always mark the outcome (Attended or No-show) at the end of each day to keep your attendance rate accurate.
Seeing your most requested services and which days or hours have the highest demand
To help you organize your schedule and decide whether to open more time slots, the lower section of Analytics → Bookings breaks down how your calendar behaves:
- Booked hours: measures the actual time you spent serving customers. A 6-person group class that lasts one hour adds 1 booked hour (not six), and cancelled appointments don’t add time because that slot became free again.
- Average lead time: how much time passes, on average, between someone booking and the time of their appointment. This helps you fine-tune the minimum notice or booking window for your services using real data.
- Most booked services: which services or classes bring in the most appointments, including the breakdown of attended appointments and no-shows for each one.
- Days of the week and trend: which days of the week fill up fastest and how appointments and attendance are distributed across the period.
- Who books most and new vs. returning customers: highlights your most regular clients and shows if anyone is accumulating no-shows so you can keep it in mind before their next appointment.
