Invite someone to your project and how team seats work

How to grant email access to a collaborator, how seats are used on your plan, and how to cancel or revoke access instantly.

On this page

You can give partners, designers, writers, or sales staff access to your project without ever sharing your password. Everyone signs in with their own véltica account and sees only the areas that match their role.

How to send an email invitation from Team

  1. In your project’s sidebar, go to Team.
  2. In the Invite someone block, enter Their email (name@company.com).
  3. Choose their Role from the dropdown menu (you can expand the Role reference card right below to check what each role Includes and Does not include before deciding).
  4. Click Invite.

When you do, we send an email with the invitation link. In case the email takes a moment or lands in a promotions folder, we also show you the direct link on screen once so you can copy it and send it over WhatsApp or Slack.

How your collaborator accepts the invitation (and what happens if another account is signed in)

When your collaborator opens the link, they sign in with their véltica account (or create a free one in a minute if they don’t have one yet) and see a summary of your project along with the sections they’ll have access to before clicking Accept.

If your collaborator is already signed in on that browser with a different email address than the one you sent the invitation to, the screen will let them know (This invitation is for another account) and ask them to switch accounts before accepting.

This is intentional: an invitation is personal to a specific email address. Preventing it from being accepted under a different open session keeps project access from accidentally getting linked to the wrong personal or third-party account.

Who pays for the seat: why the project owner’s plan rules and pending invitations count too

In véltica, the plan that governs a project is always the Owner’s (project owner’s) plan—never the invited collaborator’s plan:

  • Your collaborator never needs a paid plan: you can invite someone on the free plan (Starter), and they’ll be able to work with you without restrictions.
  • Guest limits per project: the Starter (Free) plan includes 0 guest seats, the Pro plan allows up to 3 guests per project (on top of the owner, who doesn’t take up a seat), and the Business plan allows unlimited guests.
  • A shared project doesn’t use up the guest’s own project quota: accepting your invitation doesn’t count against the projects their own account can create.

Keep in mind that each pending invitation also holds a seat until it is accepted, cancelled, or expires. Otherwise, on a 3-seat plan you could send out twenty invitations at once and hit the cap when the fourth person accepts, leaving seventeen people with a dead link.

How to resend or cancel a pending invitation and how to revoke access right away

From the Team screen, you have full control over who is in your project and who has a pending invite:

  • Cancel or resend a pending invitation: under Pending invitations, you’ll see how many days are left before each link expires. If you mistyped an email or want to free up the seat immediately, click Cancel invitation; the link stops working right away and the seat becomes free again.
  • Revoke access for an active member: under Members with access, open the options next to the person and remove them from the project (or the collaborator can click Leave this project themselves). Access is cut off that very second.
  • Their work stays in the project: everything that collaborator created, designed, or edited—pages, blog posts, offers, notes, or contacts—stays intact on your site. It belongs to the project, not to their personal account.
